Terms & Conditions

These Terms & Conditions apply to all participants, parents/guardians and support workers involved in KickTogether programs. By registering as a participant, you agree to comply with the following:

1. General Conduct

KickTogether promotes a safe, inclusive and positive environment. All participants, parents and support workers are expected to treat others with respect, follow staff instructions and contribute to a safe and enjoyable session. Disruptive or unsafe behaviour may result in removal from the session. Repeated disruptive or unsafe behaviour may result in removal from the program.

2. Support Management

We strive to ensure that your child’s support needs and limitations are catered to and supported throughout sessions. We will always have two coaches/support workers at every session. However, we do not have the capacity to support needs that go beyond session activities. Additionally, we cannot support participants to the extent of leaving the session unattended for child safety purposes.

It is advised that a support worker or parent/guardian be present at sessions to support a participant with:

  • Toileting
  • Administering medication or an asthma pump
  • Having a food or drink break off-court

3. Support Worker Conduct

Support workers must be appropriately qualified and provide their Working With Children Check and, if applicable, a current Police Check prior to attending sessions. If a participant’s support worker changes, parents/guardians must notify KickTogether with updated details 24 hours before the session. Support workers are expected to be aligned with program values and child safety standards.

Support workers are required to only work and support their individual client, and should not get involved in the support and oversight of other participants. If a support worker is deemed to be behaving inappropriately or overstepping the line, they may be asked to step out of the session. KickTogether reserves the right to discuss any issues related to support workers with the parents of participants.

4. Participant Expectations

Participants should attend sessions ready to engage, respect fellow participants and follow the directions of coaches. Any behaviour that compromises the safety, well-being or enjoyment of others will be addressed, and repeated breaches may result in suspension or removal. Serious breaches of conduct, safety violations or “red line” behaviours (such as aggression, bullying, or unsafe actions) may result in immediate removal from the program.

5. No-Show Policy

If a participant does not attend a scheduled session without prior notice, the full session fee will still apply.

6. Cancellation Policy

Cancellations must be made with at least 48 hours’ notice. Exceptions within the late timeframe (i.e. medical certificate, injury etc) will be considered. For cancellations after the deadline, the full session fee will still apply.

7. Incident Reporting

All incidents (e.g. injuries, conflicts, behavioural issues) will be recorded and addressed by staff.

8. Privacy Policy

KickTogether collects personal information only for the purpose of program delivery, safety and compliance. Information is stored securely and will not be shared with third parties without consent, except where required by law.

9. Photography Policy

Photos and videos may occasionally be taken during sessions for promotional or program purposes. These will only be used if prior written consent has been provided by the parent/guardian. Generally, photos will be taken of participants without their face included.

10. Emergency Protocols

In the event of an emergency, KickTogether staff will follow safety procedures, including administering first aid, contacting emergency services if required and notifying parents/guardians as soon as possible.

If your child requires any medical or support-related items (i.e. asthma pump, knee brace, EpiPen etc), families are required to bring these items to sessions.

11. Safety & Supervision

KickTogether maintains appropriate supervision ratios in line with child safety standards. Coaches are trained in duty of care, first aid and inclusive coaching practices. Parents and guardians remain responsible for ensuring that children are collected promptly at the conclusion of sessions.

12. NDIS Claiming Process

For participants using NDIS funding, invoices will be prepared in accordance with NDIS guidelines. It is the responsibility of the parent/guardian or participant to ensure their plan allows for these services and that payments are made in line with their plan manager or self-managed arrangements.

13. Payment Process

Invoices are issued on the 30th of each month and must be paid by the due date listed. Late or outstanding payments may result in suspension of participation until payment is received.
